CynteraCommunication
AI receptionist for insurance agencies

Producers shouldn't be answering COI requests.

Service work — COIs, endorsements, renewals, claims first-notice — eats 60–70% of an agency's day, leaving producers reactive and renewals exposed. Cyntera takes the inbound call, captures the request, and routes it to the right CSR or claims team with the policy number and context already in hand.

Why this matters for insurance agencies

The phone problem you already know.

  • Producers spend 60–70% of their day on service work instead of writing new business.
  • Renewal calls and COI requests come in mid-day; if the CSR is on another line, the client either holds, leaves voicemail, or calls another agency.
  • Claims first-notice calls need to feel human — but the front desk can't always pick up, and the carrier 1-800 number doesn't keep the relationship.
What CynteraComm does for you

Tuned to insurance agencies, not bolted on.

  • 24/7 pickup for policy questions, COI requests, and quote intakes
  • Captures policy number, named insured, and request type — written to your AMS (AMS360, Applied Epic, HawkSoft, EZLynx) on first call
  • Routes claims first-notice to the assigned CSR or carrier line, with the loss details and a callback commitment
  • Quote intakes captured with carrier-ready submission data — producer gets a qualified lead, not a name and a number
  • GLBA-aware data handling and no PII echoed back into the call recording
Common questions

Questions insurance agencies ask.

Will it write to our AMS?

Yes — we push activity, contact, and policy notes into AMS360, Applied Epic, HawkSoft, or EZLynx via direct integration where one exists, and via a documented handoff for everything else. We confirm the field mapping during onboarding so nothing gets dropped.

Can it handle a real claims first-notice call?

It can capture the loss — date, time, location, parties involved, photos requested via SMS — and route to the carrier or your in-house claims team within minutes. For sensitive losses (injury, large property), the protocol is to capture and immediately page a human. You define the threshold.

What about producer book ownership?

Every call is tagged to the named insured and the producer of record automatically. We don't reroute clients away from their producer — we just make sure their service request gets logged and routed even when the producer is on another call.
